As a rule of thumb, 80% of the cost of a development resides in the design and construction phases of a project and 20% in the fit out.  Conversely however, the fit out and hand-over phase takes about 80% of the time. 

Over the years, we have seen owners attempting to manage the procurement of FF&E, OS&E and Operating Equipment directly and in most cases, this turned out to be a dismal failure, with disastrous consequences for the operational preparations and pre-opening phase of a hotel. 


Whilst we provides guidance, based on its experience and vast industry knowledge, it is important for a procurement specialist to be involved with the development team early in the design development process, to ensure the efficient coordination, execution and warehousing of all non-construction related procurement, which will save significant time and costs and will greatly assist in meeting the operational requirements and standards.

 

 

The process would encompass the following tasks:

  • An initial FF&E briefing by area
  • An initial OS&E equipment briefing by area
  • An operationally based  review of the conceptual budget
  • Compile an accurate, itemised budget for all FF&E and OS&E categories for the total project.
  • Clarify the budget parameters, and liaise with Quantity Surveyor to ensure that items are not omitted or duplicated.
  • Prepare all tender documents, approval documents and purchase orders as items are approved, including information such as vendor, description, unit price etc.
  • Manage tender process and negotiate costs and guarantees on approved items.
  • Purchase of all FF&E interior items (Furniture, Fitting & Equipment)
  • Purchase of all OS&E items (Operating Supplies & Equipment)
  • Continually update and monitor budgets to ensure that financial parameters are met.
  • Co-ordinate deliveries to ensure that the goods are delivered and received on time at a prearranged warehouse facility or site.
  • Secure freight pricing and oversee the movement of goods.
  • Negotiate warehousing and installation service on behalf of the Client.
